ITS Q3 2021 Accomplishments

ITS is excited to share with fellow Gators their accomplishments achieved in the third quarter of 2021. They continue to be proud of the team for their outstanding work to better our campus infrastructure and support our community. They would also like to thank their many partners throughout campus that assist with these efforts. ITS looks forward to the opportunity to continue advancing technology at SF State during the final quarter of 2021 and beyond. ITS is here to lend a helping hand to the campus as the University heads into the future.
Security Enhancements
- Added a security banner to emails that violate the SF State employee email practice directive
- Automated an opt-in process for Two-Factor Authentication (2FA), saving significant manual effort
- Completed Azure Single Sign On (SSO) with Duo 2FA integration on September 10, 2021
- Completed deprovisioning of 30,000 dormant user accounts
- Completed SF State Single Sign On (SSO) integration for Blackbaud and LabArchive services
- Completed SSO integration for QLess on September 10, 2021
- Completed the quarterly segregation of duties access review
- Created an automated report for users with 2FA enrolled devices and developed a process to automate 2FA opt-in
- Deployed an emergency patch to block the PrintNightmare vulnerability identified by Microsoft
- Disabled secondary account creation for MPPs and Faculty in the Email Account Services Application as part of email security improvements
- Enabled the Safe Attachments security feature in Office 365 that protects email, Microsoft Teams, and OneDrive
- Handled 532 compromised email accounts and 233 Technology Acquisition Review (TAR) requests
- Refreshed and completed over 70% IT Policies
- Released updates to ServiceNow for firewall, TAR, and notifications
- Secured all Oracle databases with AES256 encryption
- Started enforcing email security changes that limit automated email forwarding and spoofing
- Supported PrintNightmare vulnerability mitigation and assisted end users
- Updated Qualtrics to align with email security controls and ensure Qualtrics email delivery is not disrupted
- Updated three IT policies: Mobile Device Policy, Patch Management Policy and Supported Operating Systems.
Communities of Practice
- Hosted Service Management Community of Practice attended by Campus IT providers, Library, Procurement, and HR – topics included campus service model
- Hosted Information Security Working Group Communities of Practice sessions in July and September
Unified Communications
- Completed software upgrades on all campus Alcatel-Lucent network switches August 13, 2021
- Completed Unified Communications (UC) migrations for Corp Yard locations
- Completed Unified Communications migrations for Hensill Hall
- Completed Unified Communications (UC) migrations for Mashouf Wellness Center September 21, 2021
- Completed Unified Communications (UC) migrations for New Admin Building, Floors 3-5
Gateway Redesign
- Added Launchpad badges to the new Gateway: Alumni Business Directory, Find A Classmate, CEL Shopping Cart, One Search Research, Distribution Lists, FollettDiscover for Student/Employee, GatorPass One Card, myDPRC, You@College, Security Groups, Short Term Loan, Student / Employee Housing, and ULink
- Improved the SF State Gateway’s Announcement page to display more announcements
- Launched a redesigned Gateway on July 30, 2021
Return to Campus
- Completed and revamped urgent COVID-19 Screening changes due to public health guidance and a surge in COVID-19
- Completed Point and Click (PnC) to Campus Solutions (CS) Student & Employee Vaccination Integration – Phase 1
- Coordinated and staffed vaccination upload tables in front of the Library to assist students with technology needs during the first week of school
- Ordered 10 hotspots for the start of fall semester
- PnC COVID-19 vaccination tracking Implementation completed July 30, 2021
- Reimaged computers for Counseling & Psychological Services (CAPS), Mashouf Wellness Center (MWC), OneStop, and staff in preparation for return to campus
- Set up and deployed computers for the campus COVID-19 testing site
- Set up tablets for Human Resources (HR) to support vaccination card upload event
- Spotlighted the "Prepare Together" and “Vaccination Proof” campaigns in the mobile app
Mobile App Enhancements
- Added Vaccination Upload link to the SF State Mobile App
- Featured “GatorFest!” and "Apply for Manzanita Square” in the mobile app Spotlight
- Spotlighted "Gator Survey – Preferences on spring classes” and “Gatorfest!” on the mobile app
- Updated and set up mobile ordering tablet and scanner in City Eats and the Bricks
- Updated Fall 2021 vendor and retail information in the mobile app
- Updated the SF State maps site and the mobile app’s “Campus Buildings" and "Get Directions”
Infrastructure Improvements
- Completed automatic replication of student preferred name from Campus Solutions (CS) to the Outlook Directory
- Completed Comcast cable box pick-up and WiFi updates to 170 out of 200 units in University Park North (UPN)
- Completed Downtown Campus (Spear Street) cabling work
- Completed Graduate College of Education (GCOE) Tableau Report for GCOE Credential Accreditation Reporting
- Completed migration of DocuLynx Documents to OnBase for The University Corporation (UCORP)
- Completed OnBase integration with campus Active Directory
- Completed a one-year Qualtrics contract renewal for campus online surveys
- Completed redesign of Student Meal Plans
- Completed the StarRez Portal X Visitor’s Module Implementation
- Completed the HR OnBase DocuSign Project
- Completed the Transact Meal Plan Plus Enhancement Project
- Completed the University Park North (UPN) and University Park South (UPS) WiFi refresh in over 277 apartments
- Completed the UPS Comcast refresh
- Confirmed 4 digital displays are operational (Admin Bursar’s Office, Library 1st Floor, Student Services Building (SSB) Lobby, Student Center)
- Created new secondary email account that uses SF State primary account for access
- Downtown Campus Wide Area Network (WAN ) circuit successfully installed and tested
- Enabled O365 Adobe Creative Cloud add-on for MS Word and PowerPoint
- Enabled QLess digital display in SSB OneStop
- Expanded Zoom-enabled rooms
- Identified and remediated data integration issues between StarRez and Transact
- Implemented Asset Management in ServiceNow for tracking inventory for consumable products
- Implemented Visio for O365 licensing
- Installed networking and telecom switches in temporary trailers prior to the Science Building demolition
- Integrated the SF State Gateway with Azure SSO in the tenant environment
- Integrated O365 Calendar with Zoom Rooms
- Processed over 70 E-waste items including computers, accessories, and phones
- Reconfigured the Local Area Network (LAN) at Student Health Services on September 10, 2021
- Reimaged public kiosk computers in OneStop and set up to work with QLess registration
- Reprogrammed residential exterior door access for fall 2021
- Retired online.sfsu.edu and userwww.sfsu.edu servers on July 30, 2021
- Updated Adobe licensing to reflect changes in the Adobe and CSU contract
- Updated signage in ADM 110 to provide customers information on IT services
Student Health Services (SHS) Support
- Completed installation of 29 SHS Exam Room computers to replace the older thin clients and improve security profiles
- Completed x-ray image migration to Konica Minolta for SHS
- Developed and collaborated with SHS on new configurations and security profiles for new SHS Exam Room computers
- Installed all Exam Room and Shared Workspace computers at SHS to transition off of Connectria
- The ITS Systems team collaborated with SHS to design and set up the new print infrastructure services and installation of 22 All-In-One (AIO) exam room computers to replace thin clients
Higher Education Emergency Relief Funds (HEERF)
- Created catalog items in ServiceNow for hardware distribution related to HEERF and began distribution of headsets and webcams
- Created product catalog to allow staff to order consumable hardware items including headsets and webcams; part of the HEERF technology upgrade project
- Migrated Self-Service HEERF Student Application for COVID-19 Debt Relief to production on August 13, 2021
ServiceNow Knowledge Base (KB)
- Completed ServiceNow KB Articles for OnBase Order Catalog
- Completed ServiceNow Knowledge Base for Procurement and provided training
- Created ServiceNow Knowledge Base for Housing and provided training
- Hosted ServiceNow Knowledge Base training session for Housing and Procurement leads
- Published a new “Phish Bowl” Knowledge Base article where current phishing messages are posted to raise awareness of the types of phishing and digital fraud messages that target SF State employees and students [Knowledgebase Article Link]
Cybersecurity Awareness Month
- Created the 2021 Cybersecurity Awareness Month 2021 website
- Rolled out the 2021 October Cybersecurity Awareness Month campaign: ‘Do Your Part. #BeCyberSmart.’ https://its.sfsu.edu/content/2021cybersecurityawarenessmonth
IT Trainings
- Completed OnBase Service Catalog training sessions for end users
- Loaded the new Data Security and FERPA compliance training focusing on phishing, malware, and passwords into the CSU Learn system on July 9, 2021
ITS Awards & Recognition
- Five ITS staff presented on various topics at the 2021 Cal State Tech Conference
- ITS was named a recipient of two 2021 Focus on Efficiency awards. This annual award is given by the California Higher Education Collaborative (CHEC) to organizations which have implemented innovative practices to improve operational performance, services, and outcomes in higher education.
Campus Western Association of Schools and Colleges (WASC) Assistance
- Prepared WASC 2021 ITS summary to show our diversified revenue sources and resource allocation as well as our commitment to sustainability (e.g., ITS initiatives, upgrades).
